Email templates

Overview

The Email Templates section allows you to customize the automated emails that are sent to customers and to you as the merchant when customer data requests are submitted through your store.

These emails are triggered automatically by the app. You do not need to send them manually. Editing the templates lets you adjust the wording, formatting, and content to match your store's tone and branding.

To access Email Templates, go to Settings → Email templates.


Available templates

There are four templates, each corresponding to a different type of data request event.


Guest verification

Triggered when: A guest visitor (someone without an account, or not currently logged in) submits a data request and needs to verify their identity before the request is processed.

This email is only sent if guest support is enabled in your Customer Data Requests settings. It contains a verification button that the visitor must click to confirm the request is genuine before it proceeds.

Data portability (export)

Triggered when: A customer requests an export of their personal data stored on your store.

Two separate versions of this template exist — one sent to the customer confirming their request has been received, and one sent to you as the merchant notifying you that an export request needs to be fulfilled. Switch between them using the Customer / Merchant tabs at the top of the template editor.

Data rectification (update)

Triggered when: A customer requests that their personal data on your store be updated or corrected.

As with the export template, there are separate customer and merchant versions. The customer email confirms the request was received. The merchant email notifies you that an update request is waiting to be fulfilled and includes the customer's comment describing what they want changed.

Data erasure (delete)

Triggered when: A customer requests that their personal data be deleted from your store (the "right to be forgotten" under GDPR).

Separate customer and merchant versions are available. The customer email confirms their deletion request was received. The merchant email notifies you that a deletion request needs to be actioned.

How to edit a template

  1. Go to Settings → Email templates.
  2. Click the template you want to edit.
  3. Edit the Email subject and Email body fields directly.
  4. Use the Liquid Variables panel on the right to insert dynamic values — click Copy to clipboard next to any variable, then paste it into the subject or body where needed.
  5. Use the Preview button at the top right to see how the email will look before saving.
  6. Use the arrow buttons next to Preview to navigate between templates without returning to the main list.


Using liquid variables

Liquid variables are placeholders that are automatically replaced with real values when the email is sent. For example, {{store_name}} will be replaced with your actual store name, and {{customer_name}} will be replaced with the name of the customer who submitted the request.

Each template has its own set of available variables listed in the Liquid Variables panel on the right side of the editor. Variables can be used in both the subject line and the email body.


Tips

  • The default templates provided by Pandectes are ready to use out of the box and are written to be clear and compliant. Edit them only if you want to adjust the tone, add your own branding language, or translate them.
  • If your store logo is set up in your Shopify settings, it will be displayed automatically in emails via the {{store_logo}} variable — no additional configuration is needed.
  • Changes to templates take effect immediately for all future requests. Emails already sent are not affected.
