How to handle the Update Customer Data Requests

If your customers need to update their personal data on your store using the Pandectes GDPR Compliance app, here’s how they can request these changes, whether they are logged in or visiting as guests. This guide will help you, as a merchant, understand the steps your customers will follow.

How Customers Make a Data Update Request



A) Guest Visitors (Logged Out or No Account)



1. Navigating to the Customer Data Requests Page



- If a customer does not have an account or has never placed an order on the store, they won't have any data registered. Therefore, any data update request made through the Customer Data Requests page will not proceed.

2. Unverified Requests



- If the customer does have an account but is currently logged out, they can still submit an update request. They will navigate to the Customer Data Requests page and select the Data Rectification option.
- The customer will then enter their E-mail address and provide a description of what they want to be updated.
- After submission, the request will appear as an unverified request in your Pandectes dashboard until the customer's identity is verified.

3. Submitting the Request



- The customer clicks Submit to send the request. This unverified request will be logged in your system, and you may need to contact the customer to verify their identity before proceeding with the data update.

B) Logged-In Customers



1. Navigating to the Customer Data Requests Page



- Logged-in customers will go directly to the Customer Data Requests page on the store.

2. Selecting Data Rectification



- On the page, they will locate the Data Rectification section.

3. Entering the Update Details



- Since they are logged in, their email may already be filled in. If not, they will enter their account email.
- The customer will then provide a detailed description of what they want to be updated in the Describe what you want to be updated field.

4. Submitting the Request



- After filling out the necessary information, the customer will click Submit. A confirmation email will be sent to them, acknowledging their request.

Managing Update Requests as a Merchant



1. Checking Customer Requests



- From your Shopify Admin dashboard, click on Apps in the left-hand menu.
- Select the Pandectes GDPR Compliance app.
- Navigate to the Customer Data Requests section and click on View report to see all data update requests.

- Unverified Requests: If a logged-out customer with an account submits a request, it will appear as unverified. You may need to verify the customer’s identity before proceeding with the update.

2. Processing the Update



- From the Shopify Admin dashboard, click on Customers in the left-hand menu.
- Locate the customer by searching with their email or name.
- Click on the customer's name to open their profile.
- Make the necessary updates based on the customer's request.



3. Notifying the Customer



- After making the updates, send an email to the customer confirming that their data has been updated according to their request.


Important Note

To ensure seamless communication and that both customers and merchants receive necessary email notifications, make sure to configure the following settings in the Pandectes GDPR Compliance app:

1. Support Guest Visitors



You can allow guest visitors (those who have not logged in but may already have an account or have placed an order on the store) to make requests regarding their data. To enable this:

- Go to the Customer Data Requests section within the Pandectes settings.
- Check the Support guest visitors option.

2. Send & Receive Notifications



To ensure that you and your customers are notified when actions are requested on their data:

- Navigate to Settings and then to Notifications within the Pandectes app.
- Enable the notifications for both the merchant and customers, ensuring that you receive email alerts whenever a data request is made or updated.
